We respect the privacy of candidates for employment. This Privacy Policy (the “Policy”) sets forth how we will use the information we obtain when you apply for a position through this career site. If you do not consent to the terms of this Policy, please do not submit information to us.

When you apply for an opportunity expect to receive an email confirming receipt of your application. Online applications are stored on a secure site and only authorized employees and hiring authorities have access to the information submitted.

This Policy governs the collection, use, and protection of personal information by Waukesha County (the “County”) during its business operations within the State of Wisconsin. This Policy is designed to be clear, concise, and legally binding, ensuring the fair and responsible handling of user data in compliance with applicable Wisconsin laws and regulations.

All information provided may be considered a public record, and as such, may be open to public inspection upon request, unless exempt or confidential.

By using any part of the career site, you agree that you have read this Policy, your personal data will be processed as described herein, and you agree to be bound by this Policy.

The County’s recruiting and hiring process is made up of several processes intended to assess your suitability for a given role and your skill set. Should you decide to apply, the County will require you to submit personal data. Although completing the County’s hiring process frequently requires this personal information, we will make every effort to notify you when the disclosure of personal information is optional.

Among other things, the County gathers the following personal information:

-  Background Screening Information including but not limited to results of pre-hire screenings of any kind, such as pre-hire checks, education verification, driving records, drug and alcohol tests, and other pre-employment screenings as necessary.

-  Contact Information including but not limited to name, address, phone number, and email address.

-  Demographic Information including but not limited to date of birth; gender and gender identity; marital status; nationality and citizenship status; military or veteran status; race/ethnicity; and status as a person with a disability.

-  Education and Training Information including but not limited to a resume, academic records, and certifications.

-  Identification Information including but not limited to forms of identification issued by government agencies, i.e. driver’s license number, social security number, passport number, or work permit information.

-  Interview and Assessment Information including but not limited to assessments, feedback, and information provided at all screenings/interviews.

-  Photos and Videos including but not limited to profile photos, and videos of any recorded interviews.

-  Work Experience Information including but not limited to employment history, professional certifications, references, and other information provided.

We may also gather or receive data about you from external sources, such as when you enlist a third party to submit your application on your behalf or from details that you or others have publicly shared on job boards or similar platforms. We will handle personal data consistently, regardless of whether we acquire it directly or through a third party.

The County will use the personal information we collect about you as necessary for conducting our recruitment and hiring processes, to fulfill legal obligations applicable to the County, for our own legitimate interests or the legitimate interests of third parties we are involved with, or with your consent as required by Data Privacy Laws. Consequently, we may utilize your personal information for the following valid business purposes.

-  To match your skills and interest to County job requirements throughout the application, recruiting, and hiring processes.

-  To identify opportunities with the County that we think may be of interest to you.

-  To communicate with you.

-  To perform data analytics, reporting, and benchmarking to improve the hiring process.

-  To comply with our legal and regulatory obligations.

If you have given consent to process your application, you have the right to withdraw your application and your consent at any time. The withdrawal will not affect the lawfulness of processing based on consent before the withdrawal. The County will keep the information you provided before the withdrawal for as long as allowed by applicable law.

The County does not use solely automated means to make decisions about your employment application.

The County is permitted to disclose the personal data we collect about you in the following ways:

-  Within the County, and with third party affiliates for the uses described above.

-  With the service providers of the County who act on our behalf and do not have the autonomy to utilize the information they access or that we provide to them, for instance, with suppliers conducting background screenings for information validation.

-  When the County believes in good faith that sharing data is essential to safeguard our rights, ensure your safety and the safety of others, investigate fraud, or comply with law enforcement requests.

-  As required or permitted by law, i.e., in conjunction with a subpoena, government inquiry, reporting obligations, legal proceedings, conflict resolution, or similar legal processes.

Apart from the reasons provided above, the County will not disclose your information to other external parties for their own use without your consent, unless it is mandated by Data Privacy Laws.

The County may use cookies, pixel tags, web beacons and other tracking technologies on our websites, applications, email messages, and advertisements, sometimes across devices, to gather information about your visit.
